Many online forms want two uploads: a photo of you and a scan of your signature. Each one has its own size limit.

This guide shows how to prepare both files so they stay clear, and how to get under a tight limit like 20KB, all in a browser with Savedfast’s free compressor.

First, read the form’s rules

Every form sets its own rules. Before you start, note what the instructions ask for. Usually some of these:

  • Maximum file size, such as 20KB, 50KB, 100KB, or 200KB. Some forms also set a minimum.
  • File format, most often JPG or JPEG.
  • Pixel size or shape, such as a set width and height.

The numbers change from form to form, so always follow the exact instructions on your form.

Keep the original first

Never compress your only copy. Work on a duplicate, so you can start again from the full-quality original if the form rejects the file. Compressing an already-compressed copy makes it look worse each time.

Keep the originals in one folder and back it up. A cloud storage service such as pCloud keeps your full-size photos and signature scans safe before you start compressing.

Prepare the photo

  1. Use a plain background. Stand in front of a plain, light wall. White or light is the most common request.
  2. Use even light. Face a window to avoid shadows.
  3. Crop to head and shoulders unless told otherwise. Less background means a smaller file.
  4. Save as JPG. It gives small files for photos.

Prepare the signature

A signature is mostly white paper with a thin line, so a good scan compresses to a very small size.

  1. Sign on plain white paper with a dark pen. Black or dark blue ink works best, and a bold line survives compression better than a faint one.
  2. Scan it with your phone. Lay the paper flat in good light and hold the phone straight above it so there is no shadow. A scanner app helps, but a normal photo works too.
  3. Crop tight. Cut away all the empty paper around the signature. This is the biggest saving.
  4. Save as JPG unless the form asks for something else.

How to compress with Savedfast

Both tools work the same way. The image to 200KB page starts with 200 in the size box. On the main image compressor you can type any number.

  1. Open the tool.
  2. Click Select Images, or drag your file onto the box. You can add up to 10 images.
  3. In the Size box, type your target in KB.
  4. In the format menu, pick JPG / JPEG if the form wants JPG. “Original Format” keeps the current type.
  5. Click Compress.
  6. Each image card shows the new size and format. Click Download on each card.

Shortcut buttons under the tool open preset pages, such as 50KB and 100KB.

Getting under a small limit like 20KB

There is no separate 20KB page. Use the main compressor and type the number yourself. For a tight limit, combine three things, and do them before you click Compress.

1. Crop first

On the image card, click Crop (or Resize). A Crop & Resize Image window opens. Drag the crop box so only the face, or only the signature, is inside. Click Save Edit.

2. Make the picture smaller in pixels

In the same window, type a Width or a Height in pixels. If you fill in just one box, the tool works out the other so the picture keeps its shape.

If the form gives an exact width and height, fill in both. The crop box then locks to that shape, so the image is not stretched.

3. Aim a little under the limit

Type a number slightly below the limit, such as 18 for a 20KB form. The tool aims close to your target, and some forms count kilobytes a little differently, so a small margin avoids a rejection.

Then click Compress, download, and check the size.

One catch: if you change only the size box or the format after an image has been compressed, clicking Compress again will not redo it. Remove the card with the ✕ and add the original file again. (Saving a new crop or resize does let you compress that card again.)

Fixing common errors

“File too large.” Check the downloaded file’s real size (tap Info on a phone, or right-click and choose Properties on a computer). If it is still over, start again from the original with a tighter crop or fewer pixels.

“Invalid format” or “Only JPG allowed.” Start again from the original with the format menu set to JPG / JPEG. Renaming a PNG file to .jpg does not change the format inside it.

“Image dimensions not valid.” The form wants exact pixels. Enter those numbers in Width and Height before compressing.

The signature looks faint or blotchy. Re-scan with darker ink and better light, and use a slightly bigger size if the form allows it.

FAQ

What is the difference between this and the 50KB guide?
Our 50KB job application guide covers one photo for one limit. This one covers photos and signatures across many limits, including very small ones.

Can I compress the photo and signature at the same time?
Yes, but they share one size box. If they need different limits, compress them one at a time.

Where can I learn the basics of file size?
See How to Reduce Image Size in KB.

Short version

Read the form’s rules and keep the original. Crop tight, use a plain background and dark ink, and save as JPG. Compress with a target just under the limit, check the size, then upload.
